Cellular Equipment Usage Policy
Purpose:
This policy is intended to provide guidance to the faculty and staff of Case Western Reserve University who wish to have cellular devices to conduct University business. Cellular devices can include cellular telephones, PCS connection cards, and any other device designed to operate on a cellular network.
Cellular Service Vendor:
Case Western Reserve University has entered into an agreement with Sprint PCS to provide cellular service to University faculty, staff, and students at a substantial discount. Information on the available service is located at http://cnswww.cns.case.edu/phone/wireless/.
Eligibility and Approval:
Cellular devices and services may be provided to certain Case Western Reserve University employees to conduct activities incident to their University employment that cannot be conducted on a land-line telephone. Requests for cellular devices must be approved by the employee's supervisor and the head of the employee's department.
Personal Purchases:
Employees of Case Western Reserve University who need cellular devices for personal use are encouraged to purchase them directly from Sprint Nextel. Sprint Nextel is offering a 8% discount on all monthly charges to Case Western Reserve University employees. Such accounts will be in the employee's name, all charges will be the responsibility of the employee, and all invoices will be sent directly to the employee's address.
Grant Accounts:
Cellular service and devices may be charged to grant accounts. In such cases, usage of the devices must conform to existing University policies relating to such accounts.
Personal Calls:
Case Western Reserve University provides cellular devices to employees for the purpose of conducting University business. The use of University-owned cellular devices to make or receive personal calls is discouraged, although it is understood that such usage may be necessary from time to time. Employees must understand that although personal calls made within the local calling region and under the usage limits provided by the employee's plan do not result in additional charges, they do count against the University's overall pool of contract minutes. Any overage, long distance, roaming, or other charges incurred by the employee for personal calls shall be the responsibility of the employee.
Other Restrictions:
An employee may not operate a personal business from any University-owned cellular devices.
Plans, Devices, Features, and Accessories:
Descriptions of the Sprint PCS service plans, cellular devices, features, and accessories available to University employees are located on the Telephone Services website at http://sprint.case.edu. All cellular plans and devices purchased by the University must be selected from these lists and purchased through the Telephone Services Office.
Damage, Loss, or Theft:
If an employee's University-owned cellular device is damaged, the employee is responsible for calling Sprint PCS Technical Support at 1-888-788-4727 to obtain service. Lost or stolen cellular devices should be immediately reported to Sprint Customer Service at 1-888-788-4727, and to the Telephone Services Office at 368-3900. All costs incurred for replacement or repair will be the responsibility of the employee's department.
Usage Monitoring:
Managers and supervisors are responsible for educating subordinates about appropriate cellular procedures and monitoring their usage. In emergency situations, managers may grant exceptions to these usage policies. In such circumstances, any charges incurred for personal use must be reimbursed by the employee on a timely basis.
